Solar Tours Terms and Conditions
Tour Packages Terms & Conditions:

CONFIRMATION AND DEPOSIT POLICY FOR TOUR PACKAGES: Prices in quotes are not final and are subject to availability. We will send an invoice/confirmation form showing the confirmed services with the final price. Attempt to confirm any request will be made only upon receipt of a deposit of $100.00 per person. Some products may require higher deposit amounts. Deposit will be charged only when services are confirmed as per initial request. For multi-city itinerary requests made within 7 days of departure, there will be a $50 rush booking fee.
FINAL PAYMENT FOR TOUR PACKAGES: Generally, final payment is due 45 days prior to date of departure. Bookings within 45 days of departure are subject to immediate payment following confirmation. All payments for bookings within 30 days of departure must be paid by credit card only. Our agents will advise when products require payment earlier. If a debit/ check card is submitted by the client we are not responsible for any bank overdraft fees or any other charges that might be charged by your bank.
CHANGES AND CANCELLATIONS FOR TOUR PACKAGES: For a confirmed booking any change after confirmation has a fee of $50. If cancellation is received in writing by Solar Tours at least 30 days prior to departure, a full refund will be made, minus a $50.00 administrative charge plus the applicable supplier cancellation fees. For cancellations received within 30 days of departure a 50% cancellation penalty will be imposed. No refunds will be made if cancellation is received within 7 days prior to departure.
Some packages (Carnival, New Year's Eve) are non-refundable. Different cancellation penalties may apply during holiday periods. Hotels, airlines or other suppliers may have stricter cancellation penalties than those described above. In those cases, the customer will pay the penalties the suppliers impose to us. We strongly recommend that you purchase trip cancellation insurance to cover such cancellation fees. Please consult our special protection plan. Group bookings have their own terms and conditions.
AIRLINE Changes, cancellations, and refunds:
- Tickets are NOT refundable. Changes will be permitted as long as the reservation has been canceled 48hours prior to departure.
- Ticket exchanges must be made prior to the original departure date.
- Most airlines tickets can be exchange up to one year from the ticketed date.
- All ticket status must be open in order to process an exchange.
- Airline change fees apply according to the airline fare rules plus any fare difference that may increase. Change fees vary between airlines.
- Caribbean, Latin America and Mexico US$175.00 and up.
- Africa, Asia and Europe US$300.00 and up.
- All exchanges must be submitted to Solar Tours. Exchange can not be made online. You must contact one of our agents in order to assist you.
- Solar Tours do not control the fees set by the airline and have no authority to waive them.
- Some tickets do not allow any changes, even with a fee.
- If the ticket permits changes here are some general restrictions:

  • You cannot change the name on an airline ticket or give the ticket to someone else to use.
  • You cannot exchange a ticket from one airline to another.
  • Airlines will not allow the ticket to be reused if the original reservation was not cancelled before the departure date.
  • Unused tickets can be exchange up to one year from the ticketed date, provided that the original reservation was cancelled before the departure date.
  • If you have a paper ticket, you must send the ticket to our office. We cannot process the exchange until we receive the original ticket. Ask for instructions on exchanging a paper ticket.
  • If you are in the middle of your trip you can contact the airline directly to change your ticket. The airline will provide you with instructions on exchanging your original ticket when you confirm your new itinerary.
AIRLINES SCHEDULE
It is your responsibility to reconfirm your flights directly with the airlines at least 72 hours prior to your departure date (outbound and inbound). We are not responsible for airlines schedule changes. The airline has the right to adjust/change and cancel flights up to the day of departure.
We are not responsible for any misconnections that the airlines might cause. We are not liability for cancelled flights, flights that are missed or flights with misconnection due to any airline scheduled changes. We are not able to compensate for hotel overnights if such may occur due to an airline schedule change. It is your responsibility to coordinate with the airline directly any changes that might affect your travel.
If the airline is providing a full refund due to major schedule change; you will be responsible for the purchase of the new ticket with another carrier. Money transfer from airline to another is not allowed. Airline refunds take between 6-8 weeks.
Observations:
Our site may offer you the lowest deal available, but in some extreme cases the system might generate an usual itinerary. Such as switching of one airport to another or changing airlines between connections.
With these particular itineraries we strongly recommend that you have a minimum of 4 hours to make your connection time. If you are willing to accept the itinerary as shown then you will be solely responsible for any flight schedule changes given by the airline, misconnections, or any other event that might effect your itinerary.
ACCOMMODATIONS: All hotel descriptions reflect the most updated information provided by the property at time of printing. Solar Tours cannot be held responsible for the condition of accommodations. There may be charges applicable for some amenities listed in these descriptions as free, and availability may vary by season. In these instances, Solar Tours is not responsible for any charges incurred by the traveler in utilizing such amenities and client agrees not to make Solar Tours responsible for the availability and/or accessibility of any and all facilities and services at time of stay. Client will notify any dissatisfaction with rooms or hotel facilities with the hotel’s management during the passenger’s stay and will not make Solar Tours responsible for the dissatisfaction. Hotels, at times, just like airlines, create overbooking conditions. In overbooking cases, compensation and arranging accommodations in another hotel is the responsibility of the hotel and passengers must negotiate all compensation with the hotel during the stay and not make Solar Tours responsible for any financial compensation due to the overbooking situation.
CANCELLATION POLICY: Holiday or New Year's deposits are non-refundable. Cancellation or name change once ticket has been issued: Latin America, Caribbean, Mexico US $175.00 fee per ticket / Europe: US $250-$300 fee per ticket. Varig Airlines $250.00 per ticket. Some tickets are NON-REFUNDABLE after departure date and some fares are completely NON-REFUNDABLE. Special cancellation rules apply during Holiday Season. All cancellations must be in writing. Group reservations have their own Terms and Conditions, which will be sent to you at time of booking.
REFUNDS: Any claims for refunds must be made IN WRITING within 30 days of scheduled return. All negotiable vouchers and/or air tickets must accompany the claim. No refunds will be made for features included in our itineraries that travelers chose not to take part in. No refunds will be made for missing transfers or sightseeing tours due to changes or delays in airline schedules. Solar Tours will not refund any money for changes in travel arrangements made by the traveler after the departure date. Any service issue affecting the quality of the guest's hotel stay must be addressed directly with the hotel's management at the time the issue arises since refunds cannot be given for such inconveniences. We cannot control what properties charge at any time and therefore cannot guarantee our fares will always be lower. There are no refunds for perceived overcharges. No guarantees or warranties express or implied, are made that the tour package will meet all of the traveler's expectations. Airlines and hotels occasionally create overbooked conditions. These entities will compensate passengers affected by overbooking. Our agency cannot be held responsible for these situations and will not refund moneys for such situations since they are beyond our control. Passengers need to present and resolve their compensation issues to the hotel or airline directly at the time the situation arises. We will not refund any money due to passengers arriving late for check-in. Passengers should plan to check in 3 hours prior to scheduled departure time. Passengers are responsible for verifying their air itineraries with the airline 24 hours before departure. We will not refund moneys for missed flights due to airline schedule changes. We will not refund monies for dissatisfaction with the conditions of a property, its rooms, facilities or services. Please take note that the lower the price the lower the quality.
CHOICE OF LAW AND VENUE: All questions of law in any action based upon any claim of breach of this agreement shall be determined in accordance with the laws of the District of Columbia as existing at the time of such action. Any action brought by either party based on any claim arising under or as a result of this contract or based on the tour package of which it is a part, shall be brought in a court of competent jurisdiction in the District of Columbia.
NOT INCLUDED:

- Airport departure or entry taxes not included in ticket taxes. Passengers must pay in cash on location.
- Documentation: All travel documents are the responsibility of the passenger. A valid passport is required in most cases. U.S. citizens also need a visa when traveling to Brazil. Some vaccinations may be required.
- Additional expenses such as laundry, alcoholic beverages (except when included), excess baggage charges, baggage insurance, meals (except as indicated in itineraries) or items of a personal nature.
- Hotel bellmen and chambermaid service.
- Tips and gratuities of any kind

Air Only Terms & Conditions:

INFANT AND CHILD DISCOUNT:
Our child policy allows only two children (paying a child discount fare) per adult. If more than two children are traveling per adult, they will have to pay the total adult fare. Only 1 infant is permitted per adult. If more than 1 infant is traveling per adult you automatically pay child fares if the fare rule permits it; otherwise the second infant will pay the total adult fare.
Booking Guidelines:
- E-Tickets are currently available for internet bookings for most itineraries.
- If the passenger wants a paper ticket when an e-ticket is available there is an extra charge which varies by airline.
- Air itineraries that may require paper tickets, and are traveling within 2 days cannot be processed.
- Unaccompanied minors are not allowed with our contracted fares.
Fare Guarantees:

- Fares are not guaranteed until ticketing; we process all bookings before 3:30PM EST. Bookings received after this time or over the weekend will be processed the following business day. Please be advised that taxes and surcharges (queues) are subject to change without notice. In the event of a credit card transaction being declined for any reason, we can't issue the ticket until we receive a valid form of payment.
- If for any reason we cannot ticket the itinerary you booked at the same price we will not charge your credit card and we will contact you with alternatives.
- We may rebook certain itineraries due to routing problems or schedule changes. The new itinerary will be emailed to the booking agent.
Airline Schedules Changes:
Airlines can change schedules at any time. Please advise your client to reconfirm their flight s 48-72 hours prior to departure.  Clients must contact the airlines directly to verify current flight info.
Payment:
- The Credit card statement may reflect two entries, one from the airline and one from Solar Tours, but always for the same total price.
- We accept the following credit cards:
- American Express, Visa, MasterCard, Discover and Diners Card
-If a debit/ check card is submitted by the client we are not responsible for any bank overdraft fees or any other         charges that might be charged by your bank.
- We only accept credit cards issued in the US, Canada, and Europe.
- We accept third party credit cards only if you fax us a signed Credit Card Form with a copy of the credit card front and back and the credit card holder's Picture ID.
- Agency checks are accepted.  No personal Checks will be accepted.  Any bounce check must be paid within 24hours plus the bank processing fee.
Shipping & Delivery:
- The vast majority of itineraries can be e-ticketed. We therefore do not ship any documents unless the air itinerary cannot be e-ticketed. If the air itinerary cannot be e-ticketed we will ship the paper tickets, and we will add the appropriate shipping charges to the cost of the trip.
- We charge $15.00 for FedEx two day deliveries, $25.00 for standard overnight delivery. Additional fees apply for Saturday, early morning delivery or other situations.
- Tickets will be delivered within 5(five) business days after the reservations have been completed.
- For any Fed Ex returned to Solar tours there will be a reshipping fee of US$25.00 (2nd day delivery).

Name Changes:
- Name changes are not permitted. Please verify the accuracy of all information before submitting a booking for ticketing. We are unable to absorb fees imposed by carriers for the reissue of tickets due to incorrect information or to correct spelling errors. It is the responsibility of the passenger to ensure the accuracy of information supplied. To avoid errors, it is suggested that the passengers' names and ages be matched and double-checked against the traveler's passport information at the time of booking.
Frequent Flyer/Special Services:
- Some fare will not accrue miles per contract rules.
- Once booked it is the responsibility of the booking agent to contact us via email at Airsupport@solartours.com in order to provide Frequent Flyer account information, request special meals, or to arrange seating.
- For special seat request please contact the airline directly.
Travel Documents:

- It is the responsibility of the passenger to ensure all document requirements such as valid passport and entry visas are obtained for all destinations. We do not offer visa information. Please consult the respective consulate.
- NEW PASSPORT REQUIREMENTS FOR TRAVELERS
Starting on Dec. 31, 2006, all nationals (U.S. and foreign) will be required to hold a valid passport to enter or re-entering the United States through airports and seaports. The new passport requirement means that birth certificates and other government issued I.D. will no longer be an acceptable proof of citizenship.
Please take this information into account if your passport is due to expire or if you need to get a passport. There may be delays in getting a passport due to the Dec. 31 deadline.

TRAVEL INSURANCE
We highly recommend Travel insurance.
Within 10 days of purchasing the program, we will process a full refund of the insurance premium to You, as long as You have not already departed on Your trip or filed a claim. No refund shall be paid to You after 10 days of purchasing the program.

Responsibility:
We act only as agents for the passenger in regards to air travel and assume no liability for injury, damage, loss, accident, delay or irregularity, which may be caused due to defect in any vehicle, acts of God, war, riots, or for any company or person involved in conveying the passenger or in carrying out arrangements of the itinerary. We cannot accept any responsibility for losses or additional expenses due to delay or changes in schedules or other causes such as strikes. All such losses will be the responsibility of the passenger. The right is reserved to make minor adjustments in the itinerary. We are not responsible for any lost or damaged luggage before, during or after the tour program. The issuance of tickets shall be deemed to be consent to the above conditions. The airline concerned is not to be held liable for any act, omission, or event during the time passenger are not on board their craft. The passenger's tickets when issued shall constitute the sole contract between the airlines and the purchaser and/or passenger. All rates published in any venue are based on exchange rates and tariffs and are subject to change. All taxes, surcharges and fees charges are subject to deletions, additions or changes without notice. These items are not under our control of since changes in Government regulations and labor agreements cannot always be anticipated in advance.
